Police Records Management System

The Police Records Management System is a CentralSquare Enterprise Records Management System (RMS). The RMS includes a Field Based Reporting (FBR) application. This is a web based tool that allows for easy data entry with drag and drop completion of reports minimizing redundant data entry. The system allows for robust reporting for data-driven decisions.

Multi-Jurisdictional

  • The CentralSquare Enterprise Suite is multi-jurisdictional
  • It allows multiple agencies the ability to input and output data as they desire.
  • Each jurisdiction sets up its own workflow so multiple agencies do not need to agree on a single business process for handling their records.
  • All agencies share a single master database which allows a comprehensive view into a master record.

Field Based Reporting

  • The web based records system is frequently referred to as field base reporting or FBR which can be used wherever and allows for easier data entry than the client server version.
  • The FBR allows for each agency to design their own templates for data entry and decide which fields are mandatory.
  • The system can be designed so that officers and deputies validate reports or that can be done later when reviewed by records personnel.
  • The FBR allows for data reuse of queries and CAD data from each incident resulting in less time filling out reports and more time in the community.
  • User-defined fields
  • User-defined templates
  • Role based security
  • NCIC Query capability within the RMS system
